Why You Need To Give a Warning

Using a employee warning notice might seem pointless. But when you take a closer look, it actually benefits both the employee and the employer.

For the employee, a warning notice acts like a wake up call. They start to know that their action actually has a consequence. If they go through the same road again and again, they might lose their job. Employees also know that more warning notice will look bad on their cv, hindering them from ever getting a job ever again.

For the employer, the form acts as a way to make the line of power known. Employees will respect the employer and obey them more. The employee warning notice also holds the employer accountable because they can’t just fire the employee because of one action. There are usually three strikes before the employee is let go of. Using this form also makes it possible for employers to not lose their employee without having put up a fight to make them better.

The Parts of an Employee Warning Notice

Create a comprehensive warning notice by using these structures:

  • Identity of employee
First, the employee’s identity will have to be elaborated. This includes the employee’s full name, company ID number, and job position/department.
  • Types of misdemeanor
Then, the supervisor needs to give a short elaboration about what type of misdemeanor is being committed. Supervisors do this by putting a check mark next to the option that fits the misdemeanor best.
  • Warning count
Aside from an elaboration of the misdemeanor, supervisor also needs to keep count of the amount of warning already given to the employee. If it already reaches three warnings, then something needs to be done.
  • Company and employee comment
In this section, both the company and employee can give their point of view. The company could give justifications on why they give the warning. The employee can clear up the air or justify their action.
  • Actions taken
After that, the company have to elaborate what kind of actions will be used to follow up the misdemeanor.
  • Signature
Finally, the employee warning notice will be closed with a signature from both the supervisor and the employee. This signature is written alongside the date.

Other than that, we also believe that the notice should be used transparently. You can’t give warnings in discreet. If so, the employee won’t know what they did wrong and how they can change.
